These are the terms and conditions on which Springfield House contracts with you. Your contract will be with the operating company, Springfield House (Coleshill) Ltd. These terms and conditions apply when you book a room or any services at Springfield House, regardless whether the booking is made via our website, on the phone or with an OTA (e.g, booking.com, Expedia etc).

Please read these terms and conditions carefully before you make your booking with us. These terms tell you who we are, how we will provide services to you, how we may change or end the contract, what to do if there is a problem and other important information. You will be asked to confirm acceptance of these terms when you make a booking.

1. Prices
The prices advertised for room reservations include accommodation as described on our website and breakfast. No refund will be given if breakfast is not taken, for whatever reason. We reserve the right to change our prices at any time. This does not affect bookings already made.

Pre-Pay and Save
To reward those who book early and pay in advance from time to time we offer a discount rate. This rate cannot be cancelled or changed and is non-refundable with payment taken at time of booking.

2. Payment methods
If you have not paid for your room and any extras added to your booking in full at the time you make your reservation, you will need to pay on arrival.

Payment may be made by cash, BACS, credit/debit card (Visa, MasterCard, American Express, Diners Club, Maestro and Electron). The expiry date of your debit/credit card must be later than the end of your stay. We do not accept personal cheques.Terms and conditions

3. Booking and cancellation
We will secure your booking with us at the point of booking by collecting credit card details with an expire date to cover your stay. The full payment for your stay will be due on check-in. Or by collecting full payment if the Pre-Pay and Save rate is selected. By booking this rate you agree that our normal cancellation policies do not apply.

If you need to cancel your stay with us please contact us as soon as possible.
We are a small business, so cancellations can have a big impact on us, especially if we have turned away potential guests in favour of someone who has already booked and who then cancels. We do, however, appreciate that unforeseen circumstances can intervene and we try to be as sympathetic and helpful as possible in such cases.

For cancellations of your reservations made up to 4 days before your stay, we will refund any deposit that you have paid, save for a £5 administration fee.
For cancellations made after this time you will be liable for the full cost of your stay. We will always do our best to re-sell your booking and where we succeed we will refund the full amount to you minus the equivalent of 5% of the booking cost, as a refund administration fee.
In the event of a booking reduction (after arrival date) the full cost of the booking is charged.
Pre-Pay and Save rate cannot be cancelled or changed and is non-refundable under any circumstances.

No shows
If you do not arrive at Springfield House on the scheduled date of arrival by 9pm, you will be deemed to be a ‘no show’ and your booking will be cancelled. Accordingly, your room will be released for the duration of your stay and may be booked by another guest. For the avoidance of doubt, no refund will be due or given in these circumstances.

We would recommend that you take out holiday insurance to cover you in the event of a cancellation.

While we try to ensure the specific room requested is available, Springfield House reserves the right to alter the room on a like for like basis if required.

If you’ve made a group booking, our cancellation terms are as follows:
For 4 rooms or fewer, we’ll need full payment 14 days before arrival. This is non-refundable, but you can cancel your booking free of charge if you do so before this time.

For 5 rooms or more, we’ll need a 50% deposit 28 days before arrival and the balance 14 days before arrival. These payments are non-refundable, but you can cancel your booking free of charge if you do so before we take a deposit.

Where you cancel (including any “no show”) a group booking and there is a non-refundable payment retained by us, this total amount is a cancellation charge to compensate Springfield House for the cancellation and is not for any service.

You are not entitled to cancel or withdraw from your reservation under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Non-availability of accommodation
We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would, however, attempt to offer you alternative accommodation of a similar standard. If this was not possible, or unacceptable to you, then we would refund the monies paid by you for your accommodation only. Springfield House’s liability would not extend beyond this refund.

4. Arrival and departure
Check-in is between 3pm and 9pm. We will do our best to meet guests needs and arrange check-in outside of these times but this must be arranged in advance. Check out is by 10am on the day of your departure. A £10 charge applies* for check in/out outside of our normal hours;

Early Check-In – allows you to check in from 12 noon (normally 3 pm)
Late Check-In - allows you to check up until 12 midnight (normally 9pm)
Late Check-Out - allows you to check out up until 12 noon (normally 10am)

Check-in before noon requires payment for the previous night. You are most welcome to drop your bags off from 9am free of charge.

5. Occupancy
The maximum room occupancy is two adults. Family rooms can accommodate three adults or one adult and two children (under the age of 16). You must not exceed the maximum occupancy for the room allocated to you. We reserve the right to conduct checks on occupancy. Occupancy is not transferable.

7. Damages and Breakages
Please take care when staying at Springfield House as you may be held responsible and liable for any breakages and damages which you cause to the accommodation or its contents. We may need to make a charge for repair if the damage or breakage is significant.

All room keys must be returned to us on check-out.  If you don’t do this a charge of £150 will be levied to you for a replacement key or lock as required.

8. Lost Property
We are happy to return items that have been left following departure. However, there will be a minimum charge of £6.50 to cover postage and packaging.

9. Disabled Access
Sadly we can not accommodate guests who are not able to manage stairs comfortably, as currently all our bedrooms are on the first floor and there is no lift or the cellar room which has stairs in the entrance.

10. Smoking
Springfield House is a strictly non-smoking establishment. If any evidence of smoking is found in rooms guests will be asked to leave immediately and will be liable for the full cost of their stay. In addition to this, an excess of £150 will be charged to cover the cost of deep cleaning.

11. Hot food
Should you wish to bring takeaway food into the premises, Springfield House can provide the dining room for your convenience rather than eating in your bedroom. No cooking is permitted in bedrooms!

12. Parking
Free car parking and the main entrance to Springfield House is at the rear of the property. Long term car parking (subject to availability) is charged at £3 per night.

13. Dogs
We regret that we do not allow dogs (or other animals) to stay at Springfield House.

14. Internet facilities
Internet facilities are provided by third party providers. Where these facilities are made available in Springfield House, the guest acknowledges that there may be disruption to the connection without prior notice and Springfield House shall not be liable whatsoever for such disruption. The guest further undertakes not to use the facility for any fraudulent purpose or in connection with any criminal offence or contravention of any licence and will indemnify Springfield House against any claim demand suit prosecution arising therefrom.

15. Discrimination
It is the policy of Springfield House not to discriminate on the grounds of race, colour, nationality, creed, sex, sexuality, marital status, age, ethnic origin or disability. Guests are expected to adhere to this policy and Springfield House may, without incurring any liability to the guest, remove from the premises any person or persons offending against this policy.

16. Behaviour
Springfield House reserves the right to judge acceptable levels of noise or behaviour of guests who must take all steps for corrective action as requested by the owners. In the event of failure to comply with these requests, Springfield House may terminate the booking immediately without being liable for any refund or compensation.

17. Liability
Springfield House does not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions. Items left in the guest fridge or any shared areas are at your own risk.

18. Privacy Policy
Any data collected during your booking may be held on computer. With your permission, we may from time to time contact you about promotions and offers. We will never share your details with third parties.

19. Complaints

Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by or you otherwise suffer any damage or loss as a result of “force majeure”. In these Booking Conditions, “force majeure” means any event which we could not, even with all due care, foresee or avoid.
